Northpoint GolfSuite (“GolfSuite,” “we,” “us,” or “our”) is operated by Northpoint Web Solutions. This Privacy Policy explains how we collect, use, store, and disclose information when you visit our website, communicate with our AI assistant, request information, make a reservation, or use another GolfSuite feature.
1. Information We Collect
Depending on the features being used, we may collect:
- Your name, email address, telephone number, and other contact information.
- Tee-time requests, reservations, player information, event registrations, orders, and related transaction details.
- Information you voluntarily provide through forms, account registration, customer-support requests, or the AI assistant.
- Chat messages and conversation history exchanged with the AI assistant or a human representative.
- Website usage information, including IP address, browser type, device information, referring pages, visited pages, and approximate location.
- Payment-related transaction information. Complete payment-card information is generally collected and processed directly by the applicable payment processor rather than stored by us.
- Administrative notification settings, including a telephone number designated by an authorized GolfSuite administrator to receive operational text alerts.
Please do not submit passwords, payment-card numbers, Social Security numbers, medical information, or other highly sensitive information through the AI assistant.
2. How We Use Information
We may use collected information to:
- Operate, maintain, secure, and improve GolfSuite.
- Process tee-time requests, registrations, orders, payments, and other requested services.
- Answer questions and provide customer support.
- Enable the AI assistant to respond using approved website and business information.
- Allow an authorized staff member to review a conversation and take over from the AI assistant.
- Notify authorized administrators when a visitor begins or continues a meaningful AI-assistant conversation.
- Communicate about reservations, requests, service issues, or account activity.
- Detect fraud, abuse, security incidents, and technical problems.
- Comply with applicable legal obligations.
- Create aggregated or de-identified information that does not reasonably identify an individual.
3. AI Assistant and Human Review
GolfSuite may provide an AI-assisted chat feature. Messages submitted through the assistant may be:
- Stored in the website’s database.
- Sent to an AI service provider for processing.
- Compared with approved website content.
- Reviewed by authorized staff.
- Included in an operational alert sent to an authorized administrator.
- Used to improve the accuracy and usefulness of the assistant.
AI-generated responses may occasionally be incomplete or incorrect. Visitors should independently confirm important information—including prices, availability, rules, deadlines, payment obligations, and safety information—with the applicable golf course or organization.
4. Text Messaging and Mobile Information
Current administrative alerts
GolfSuite may use Twilio or another communications provider to send operational text alerts to a telephone number entered by an authorized GolfSuite administrator. These alerts may notify the administrator that a website visitor has started or continued an AI-assistant conversation or requested personal follow-up.
These administrative alerts are not a customer marketing program. Website visitors are not automatically subscribed to receive text messages merely because they use the website, provide a telephone number, make a reservation, or communicate with the AI assistant.
Optional customer messaging
GolfSuite does not currently enroll website visitors in recurring customer text messages.
If customer-facing text messaging is offered in the future, enrollment will require a separate, affirmative opt-in. Consent will not be preselected, bundled with acceptance of general terms, or required as a condition of purchasing goods or services unless permitted by law.
Before opting in, the customer will be told:
- The identity of the business or messaging program.
- The types of messages that may be sent.
- The expected message frequency.
- That message and data rates may apply.
- How to obtain help.
- How to withdraw consent.
A recipient may opt out by replying STOP or by using another reasonable method communicated to us. A recipient may request assistance by replying HELP or contacting us using the information below.
We do not sell, rent, or share mobile telephone numbers, SMS opt-in information, or messaging consent with third parties or affiliates for their own marketing or promotional purposes. We may provide mobile information to service providers that help us deliver requested messages, but only as necessary to provide those services.
Consent to receive text messages is not a condition of purchase.
5. Cookies and Website Analytics
We may use cookies and similar technologies to remember preferences, maintain sessions, understand website traffic, improve performance, and help protect the website.
Your browser may allow you to block or delete cookies. Some GolfSuite features may not function properly when cookies are disabled.
6. Service Providers
We may disclose information to service providers that perform services on our behalf, such as:
- Website hosting and database providers.
- Artificial-intelligence service providers.
- Twilio or another communications provider.
- Email-delivery providers.
- Payment processors.
- Website security, analytics, backup, and maintenance providers.
These providers receive information only as reasonably necessary to perform their services and are subject to their own contractual and legal obligations.
7. Golf Courses and Other Organizations
GolfSuite may be operated for or licensed to an individual golf course, municipality, school, club, recreation program, or other organization. That organization may separately control information collected through its installation of GolfSuite.
Questions about a particular reservation, course policy, customer account, or locally operated GolfSuite installation should also be directed to the organization operating that installation.
8. Legal Disclosures
We may disclose information when reasonably necessary to:
- Comply with law, regulation, subpoena, court order, or another legal process.
- Protect the rights, property, safety, and security of GolfSuite, its operators, users, or the public.
- Investigate fraud, abuse, security incidents, or violations of our Terms and Conditions.
- Complete a merger, acquisition, financing, reorganization, or transfer of business assets, subject to appropriate protections.
9. Data Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including providing services, maintaining business and transaction records, resolving disputes, enforcing agreements, and meeting legal obligations.
AI-assistant conversations may be retained according to the retention period configured by the website administrator. Authorized administrators may delete conversations when permitted by applicable law and operational requirements.
10. Security
We use reasonable administrative, technical, and organizational measures intended to protect personal information. No website, database, transmission method, or storage system can be guaranteed to be completely secure.
11. Children’s Privacy
GolfSuite is not intended to collect personal information directly from children under 13 without the involvement or authorization of a parent, guardian, school, municipality, or other responsible organization.
If you believe a child has submitted personal information improperly, contact us so we can review the situation.
12. Your Privacy Choices
Depending on your location and applicable law, you may have the right to request access to, correction of, or deletion of certain personal information.
You may also:
- Decline optional text-message consent.
- Withdraw text-message consent at any time.
- Request that we stop sending marketing communications.
- Adjust cookie settings through your browser or an available consent tool.

13. Third-Party Websites
GolfSuite may contain links to golf courses, payment services, mapping services, social networks, or other third-party websites. We are not responsible for the privacy practices or content of third-party services.
